Send Pre-Delivery (894) Invoices

This screen is used to send pre-delivery invoices to trading partners with Send Pre-Delivery Invoices (894) checked on the EDI settings panel.

The Send Pre-Delivery (894) Notices format is supported in AB, Coke, UFF, and X12 formats. If Exclude Credits (894) is checked on the EDI settings panel then credit invoices will not be included when 894 Invoices are sent to trading partners.

EDI 894 exports can also be performed as scheduled tasks.

About Exporting Pre-Delivery Invoices
  • All undelivered orders that have not yet been exported are candidates.
    • Only orders that have either already been picked or committed by Orders-to-Loads (if that plugin is installed) are considered.
    • Only orders for trading partners using the selected EDI format are considered.
  • Specific orders or all of the pre-delivery invoices can be exported.
  • Dunnage and empties with zero price and deposit are excluded from pre-delivery invoices.
  • Orders with problems will not be exported. For example, if a PO number is required but missing, the order will have a problem.
  • Raw data can be reviewed prior to export.
About Re-Exporting Pre-Delivery Invoices
  • All prior exports are available for re-export.
  • Specific orders or the entire batch of orders can be re-exported.

Send Pre-Delivery Invoices

How to Send Pre-Delivery Invoices
  1. Go to EDI > Send Pre-Delivery (894) Invoices.

While there are different screens for each of these options, they all function identically. For the sake of brevity, this process will only be explained, and pictured, once.

  1. Click Load Deliveries to Send.

  1. Check Include Already Delivered Orders to load orders that have already been delivered.
  2. The Customer # is listed in the first column.

  1. The Customer is listed in the second column.
  2. The Amount column indicates the amount of money the customer owes.
  3. The Order # column lists the order number.
  4. The PO # column lists the purchase order number.
  5. The Delivered column lists the date on which the order was delivered.
  6. Check Send to indicate if an order should be sent or not.
  7. The Status column lists the status of the order. Orders that have already been sent will be listed as Sent while orders that still need to be sent will be listed as Must Send.
  8. The Format column lists the format orders were sent in.
  9. Select the Warehouse from the drop-down.
  10. Click the Printer Icon to open a print preview of the export.
  11. Click the Excel Icon to open an Excel file.
  12. Click on a row to select an order.

  1. Click Override Order # if necessary.
  2. Enter the new order number.

  1. Click Okay.
  2. Check Show Order Details to show detailed information about the selected order, including the customer’s address, the time the order was delivered as recorded on the handheld, and the product delivered.

  1. Click View Raw Export Data for Selected Orders to view the raw export data for the selected orders. Click the hyperlink again to return to the normal view in this screen.
  2. Click Mark Selected Invoices as Ready-to-Send to check the Send boxes for all selected rows.
    • Use CTRL + Click to select multiple rows.
    • Use SHIFT + Click to select a range of rows.
    • Use CTRL + A to select all rows.
  3. Click Send Pre-Delivery Invoices.

Re-Export Pre-Delivery Invoices

How to Re-Export Pre-Delivery Invoices
  1. Click Show History / Re-Export.
  2. Select the date in the calendar.
    • Dates an export was performed are highlighted in blue.
    • Once the date has been selected, the orders from that date will load.

  1. Check Send to indicate if an order should be sent or not.
  2. Click Mark Selected Invoices as Ready-to-Send to check the Send boxes for multiple selected rows.
    • Use CTRL + Click to select multiple rows.
    • Use SHIFT + Click to select a range of rows.
    • Use CTRL + A to select all rows.
  3. Click Export Selected Invoices to resend only the selected invoices.
  4. Click Export All Invoices to resend all of the invoices on the screen.
